Euro-BioImaging is looking for an Operations Support Assistant at the Euro-BioImaging Statutory Seat in Turku, Finland, to support the day-to-day financial and administrative operations of the organisation and its Horizon Europe projects.

In this role, you will coordinate and communicate with internal and external stakeholders, handle reimbursements, and participate in projects’ financial reporting activities by compiling and maintaining documentation in line with compliance requirements. This is a hands-on, operational role focused on ensuring that financial and administrative processes are carried out accurately, consistently, and in compliance with applicable rules and regulations. You will have the opportunity to contribute to the continuous improvement of administrative processes by identifying practical enhancements. You will also contribute to the practical organisation of project-related meetings, workshops, and events.

Key Responsibilities

  • Maintain structured project documentation related to financial reporting.
  • Participate in project reporting and support the preparation of projects’ financial statements in line with funding rules, including compiling and organizing supporting documentation for financial reporting. Support reporting processes by ensuring the underlying data is accurate.
  • Ensure that all project-related financial documentation is complete, accurate, eligible according to applicable rules and regulations, and audit-ready.
  • Process reimbursement requests related to project implementation tasks
  • Monitor selected project mailboxes and support ongoing communication with stakeholders.
  • Follow up on missing information and ensure the timely completion of administrative processes.
  • Assist in the organization and coordination of project meetings, workshops, and events.
  • Work closely with the Finance & Administration Manager, Head of Operations, Scientific Project Managers, and other team members to support operational processes across projects.

Essential Requirements

  • Bachelor’s degree (or equivalent) in Business Administration or a similar field
  • Excellent command of English (official working language)
  • Strong Excel skills
  • Strong organizational and time management skills
  • Availability to work on-site in Turku, Finland

Considered an Advantage

  • Experience in financial project administration of externally funded projects, preferably under Horizon Europe or similar EU funding programs.
  • Familiarity with Horizon Europe financial rules and cost eligibility principles, and supporting documentation requirements.
  • Understanding of financial management processes in EU-funded projects, including cost allocation, reporting requirements, and audit preparedness
  • Experience working with financial and administrative systems and tools, as well as collaboration and project management tools.

Terms of Employment

  • Full-time (37.5h/week), fixed-term contract until December 31st, 2027 (project-based contract; renewal subject to funding availability).
  • Gross salary range: €3,300–€3,800/month, based on experience and qualifications.
  • The primary place of work is the Euro-BioImaging ERIC Headquarters office in Turku, Finland. Limited hybrid work is possible.
  • 6-month probation period.
  • Occasional international travel is required.
